Saluda Hill Landscapes provides multi-level landscaping to Lexington, SC, and the surrounding areas. With multiple divisions covering both commercial and residential work, they stay busy all year round.

When Bryanna Wooley came onto the team as the Marketing Coordinator, she was given the task to find a replacement to their stacks of paperwork. More than 45 work orders were being completed on paper weekly. Advanced Construction Technologies (ACT), serves as an industry leader in the environmental and geotechnical construction and engineering space. The Background

Change is never easy, especially for small businesses who are used to doing things a certain way. The same was true for Metro Caulking & Waterproofing. For over 25 years MCW had been using paper forms to service and complete construction jobs in South Florida but found as their business grew, it became increasingly more difficult to maintain their high standards of efficiency and productivity.

The Problem

Paper forms become an issue for any small business as it begins to scale and take on more projects, and that is exactly what happened to MCW. The Solution

The start of making the transition from paper to mobile forms began with thoroughly understanding Metro Caulking & Waterproofing’s processes, and locating where the biggest speed bumps resided. Once understood, converting the most used daily inspection reports was key to gaining early adoption by MCW’s field users. It was extremely important to show MCW’s field users the instant impact that GoCanvas could make on their daily data collection process in order for them to embrace this new technology. Fortunately, thanks to GoCanvas’s no-code App Builder, MCW’s technicians were using the new mobile versions of their original paper forms in just a few days. The feedback, to say the least, was amazing.

5 Steps To Go Construction Paperless

If you’re thinking about joining the thousands of companies in the construction industry who have already ditched paper for
mobile forms then you need to read this. Learn how simple it is
to transition your paper-based processes to Canvas.

STEP 1: THE SUCCESS PLAN

When investing in any type of technology, it is important to create a plan. This plan should include deadlines, ROI targets, and specific details of what results you expect.

It is important to discuss the current holes in your process, where you are losing time and/or money, and what pieces of data are most important for your business. This helps lay the foundation for the implementation of your custom solution.

STEP 2: FORM CONSOLIDATION

When you start with GoCanvas, the first thing you will be asked to do is send us all the paper forms that your company currently uses on a daily basis. Work Orders, JSA’s, Safety Reports, and everything else you have. GoCanvas will assist to build these forms into mobile versions and train you on how easy it is to create these into mobile forms using the no-code GoCanvas App Builder.

STEP 3: INTERNAL TESTING

Once your forms have been converted into mobile versions, it is now time to start testing with a small “pilot group”. This group should be comprised of a few high-value personnel who normally use these forms on an active basis. They will be essential for providing feedback that is used to modify the mobile forms until perfection!

STEP 4: DATABASE INTEGRATION

Once you have concluded testing and tweaking your initial mobile forms, now is the time to evaluate where you want all your data to be collected, shared, and analyzed. The Background

There is a popular saying that goes “time is money”, and nothing is truer when it comes to the Construction industry. For Sierra National Asphalt(SNA), and their asphalt and engineering experts, they realized they were losing hundreds of hours on a monthly basis due to inefficient data collection processes. This was turning into longer projects, which resulted into more expensive projects, and resulted in a loss on their bottom line. With GoCanvas mobile forms, the SNA work crews are now able to collect and transfer their daily reports right from the work site. Resulting in fewer lost forms, quicker processing of reports, and virtually zero data re-entry by office staff. More time, more money.

The Problem

When the GoCanvas team first met with Sandee Pierce, Administrative Director at Sierra National Asphalt, the goal was not to sell a solution but to understand what parts in the process were breaking down and how they could be made more efficient. The Senior Mobile Application Consultants worked with Sandee and her team to map out a success plan that included fixing the areas in which they were losing valuable time, increasing the speed of billing and invoicing, and increasing the visibility of data across all departments.

The Solution

The GoCanvas mobile platform that was customized for SNA included a dual Timesheet and Daily Report application. This allowed the field users to record both their time and the activities completed on their specific job site.

Sierra National Asphalt took advantage of Canvas’ Reference Data feature by connecting their internal Project, Material, and Employee lists directly to the mobile application. This allows their users to simply select values from a drop-down instead of manually typing data into each individual field. This has significantly cut down on inaccurate, misspelled reports being sent back to the office.

And now, when a report is completed on the field user’s mobile device, all the information is automatically submitted to the office and stored in Sierra National Asphalt’s secure Canvas cloud database for immediate review by the office staff.

“The Supervisors do not have to go to job sites to track down and collect time sheets [anymore]. The reference data and validation tables have reduced the errors that previously caused corrections by the supervisors and office staff,” remarked Sandee Pierce. “Output reports have reduced the time it takes to enter time data into payroll.”

The Outcomes

At the end of the day, it all comes back to the old saying. With the automation of their frontend data collecting and backend reporting, Sierra National Asphalt has recouped over 845 hours in productivity annually since implementing GoCanvas. The Solution
